Challenge 25 Policy

Purpose

 

  • To prevent the sale of alcohol to individuals under the age of 18.

 

  • To ensure compliance with UK licensing laws and promote responsible alcohol service.

 

  • To protect the event’s reputation and avoid legal penalties.

 

  1.  Policy Statement

 

  • All staff involved in the sale or service of alcohol will operate a Challenge 25 policy.

 

  • Anyone who appears to be under the age of 25 will be required to provide valid identification to prove they are 18 or older.

 

  1.  Acceptable Forms of Identification

 

Only the following forms of ID will be accepted:

 

  • Passport (valid or expired within the last 5 years).

 

  • UK Driver’s License (full or provisional).

 

  • Proof of Age Standards Scheme (PASS) Card (e.g., CitizenCard or Validate UK).

 

  • National Identity Card (for EU/EEA countries)

 

Note: Photocopies, photos, or digital versions of IDs will not be accepted.

 

2.  Procedure for Staff​​

 

  • If a customer appears to be under 25, politely ask for ID.

 

  • Use the phrase: “We operate a Challenge 25 policy. Could I please see some ID?”

 

Check the ID:

 

  • Verify the ID is valid and check the date of birth.

 

  • Ensure the photo matches the person presenting the ID.

 

Refuse Service if Necessary:

 

  • If the customer cannot provide valid ID or is under 18, refuse service politely.

 

  • Explain: “I’m sorry, but without valid ID, I cannot serve you alcohol.”

 

Record the Incident:

 

  • Log any refusals in the event’s incident report for future reference.

 

2. 1 Staff Training

 

All staff involved in alcohol service will be training on:

 

  • The Challenge 25 policy.

 

  • How to check IDs and spot fake documents.

 

  • How to handle difficult situations or confrontations

 

3. Signage

 

  • Clear signage will be displayed at all bars and alcohol service points, stating:

 

  • “We operate a Challenge 25 policy. If you look under 25, you will be asked for ID.”

 

  • Signage will also list acceptable forms of ID.

 

4. Compliance and Monitoring

 

  • Supervisors: Designated Premises Supervisor will monitor alcohol service points to ensure compliance.

 

  • Mystery Shoppers: Underage volunteers may be used to test staff adherence to the policy.

 

5. Handling Difficult Situations

 

If a customer becomes aggressive or confrontational:

 

  • Remain calm and polite.

 

  • Seek assistance from a supervisor or security.

 

If necessary, event venue security or local authorities.

 

6. Record Keeping

 

All refusals of alcohol service will be recorded, including:

 

  • Date and time.

 

  • Reason for refusal.

 

  • Description of the individual.

 

Records will be retained for at least 6 months.

 

7. Communication with Attendees

 

The Challenge 25 policy will be communicated to attendees:

 

  • On the event website

 

  • Through signage at the entrance and alcohol service points.

 

  • Via announcements during the event.

 

8. Legal Compliance

 

  • This policy adheres to the Licensing Act 2003 and local licensing requirements.

 

  • Failure to comply with the policy may result in fines, legal action, or revocation of the event’s alcohol license.
